Position Summary

The Assistant Director of Direct Marketing and Participation (AD) is responsible for managing all schedules to ensure critical IA communications projects are delivered to meet key milestones and agreed-upon timelines. The assistant director will also contribute to the direct marketing function for the division as well as drive analytical insights of project performance against key performance indicators. Reporting to the director of direct marketing and participation, the assistant director will work across the direct marketing team and division, support, and work with outside partners, and oversee key functions of direct marketing for engagement and giving.

Primary Responsibilities

  • Oversees the student phonathon program, including recruitment, hiring, training and strategy as well as goal setting and reporting on progress to goals.
  • Directly and proactively contribute to the direct marketing function for the division, providing project oversight, administrative, design and technical support in areas such as direct mail, phone, email marketing, digital advertising (remarketing) and digital solicitation (texting, videos).
  • Create and oversee the development of analytical dashboards to reflect project management progress as well as delivery of key performance indicators.
  • Serves as the team’s point of contact for any project management-related issues including prioritization, scheduling and performance.
  • Maintains strong working relationships with colleagues across the university, including the central Office of Communications, in support of a coordinated, strategic and collaborative marketing and communications approach. Coordinates with project management offices across the university, as required.
  • Shared responsibility of the fundraising donor and dollar goals for direct marketing and the institutional advancement division overall by completing other duties, as assigned.

Qualifications: 

  • Bachelor’s degree required.
  • A minimum of 3-5 years of work-related experience, preferably in a higher education or non-profit setting.
  • Track record of strong organizational, communication, interpersonal, analytical and project management skills.
  • Familiarity with best of breed phonathon calling practices and software solutions a must.  Coursework in project management a plus. Experience with RNL’s Engage a plus, but not required.
  • Strong interpersonal skills with proven ability to successfully interact and collaborate with colleagues of various responsibility areas.
  • Ability to apply good judgment and discretion when dealing with highly confidential alumni, parent, student, family, donor and prospect information.
  • Possess an ROI-mindset when establishing priorities and use of limited resources.
  • Must be a detail-oriented, self-starter with an ability to work independently and manage multiple priorities to meet challenging timelines and achieve annual goals.
  • Demonstrates proficiency in email, word processing, spreadsheet, presentation and conferencing software, and relational databases with an ability to become comfortable and productive with the University’s alumni and donor systems.  MS Office Suite and Salesforce experience highly desired.
  • Exhibits excellent written and oral communication skills that promote academic and business professionalism and convey information clearly and concisely.
  • Presents a collegial, collaborative, and customer-service demeanor that positively reflects the core values and standards of the institution and demonstrates tact and diplomacy.
  • Adheres to University and departmental business policies and procedures. •      
  • Excellent organizational skills with high attention to detail and follow-up.
  • Self-motivated with an ability to work both independently and collaboratively.
  • Must be able and willing to work occasional evenings and weekends with an attitude of doing what it takes to get the job done.
