Outreach Coordinator, Annual Giving

The Outreach Coordinator is a team member of the Constituent Engagement unit with full-time responsibilities within the Office of Annual Giving (OAG), the university’s annual giving program. The Outreach Coordinators reports to and takes direction from the Associate Director of Annual Giving. Duties are executed according to the policies and procedures of Constituent Engagement.
This position’s primary responsibility is to manage JMU’s Madison Connection student calling program and digital outreach platforms. Secondary responsibilities include the management of select volunteer and affinity groups.

Duties and Responsibilities: 

  • Telefund Management & Supervision
     Student Staff Supervision 

    • Responsible for supervision, support, development and evaluation of student managers and indirect supervision of approximately 30 – 40 student callers.
    • Provide technical assistance and activities as needed to ensure staff professional development.
    • Manage the day-to-day activities of the students and evaluate their performance.
    • Manage the Recruitment, Hiring, Training, Evaluation and Retention of Callers
    • Responsible for making final student hiring/scheduling decisions.
    • Oversee student employment paperwork and adhere to all student payroll policies and procedures.
    • Oversee the development and implementation of dynamic and active orientation and training, including strategies and procedures, for new and current student callers.
    • In conjunction with student management staff, create a stimulating and enthusiastic work environment for callers, including an incentives program and fair compensation policies.
    • Prepare, Plan and Implement all Aspects of Annual Calling Program
    • Work with student managers to develop and execute phone program strategies including script development, ask structure, overcoming objections, etc.
    • Actively measure and evaluate on going Telefund results against OAG goals and implement ways to improve overall efficiency and performance of the program.
    • Ensure all prospects receive appropriate pledge reminder information and donors receive proper acknowledgements.
    • Ensure compliance with all University Business Office policies, to include PCI DSS regulations.
    • Respond to all alumni/donor inquiries and concerns regarding the telefund program.
    • Maintain CampusCall Software
    • Coordinate calling segmentation strategy, pull and load data lists, manage weekly data refresh process and direct student managers on call list assignments.
    • Run statistical reports and provide program analysis on an ongoing basis.
    • Troubleshoot and resolve any problems with computer, phone or automated calling software.
    • Work with IT and Advancement Business Applications to coordinate any necessary software upgrades, testing initiatives, or process changes.
    • Engage in strong, continuous dialog with CampusCall vendor (Ruffalo Noel Levitz).
  • Digital Strategies
    • Manage and maintain Annual Giving’s digital platforms through collaboration with vendors and Advancement Information Services.
    • Integrate digital platforms into the overall annual giving strategy to enhance solicitation efforts.
    • Research and propose emerging digital fundraising trends and best practices to support overarching goals.
    • Respond to special needs and requests of donors who make gifts through digital platforms.
  • Peer-to-Peer Volunteer Management
    • Serve as primary contact and project manager for all affinity giving volunteer efforts including the GOLD Network, reunion class, Giving Day Ambassador and affinity group fundraising efforts. Develop and manage class/affinity reunion giving programs with participation and giving goals in alignment with the overarching annual giving goals.
    • Coordinate with the Office of Alumni Relations to provide event-planning support as needed for specific reunion class and affinity groups to ensure overarching fundraising and engagement strategies for reunions cohesively align.
    • Evaluate and develop affinity giving peer-to-peer efforts based on the current Annual Giving, University Advancement and JMU priorities, including recruitment, selection, training, management and motivation of volunteers.
  • Office of Annual Giving Management Team
    • Assist Director of Annual Giving in planning and implementing a comprehensive annual fundraising program based on the priorities of the university and its academic units.
    • Collaborate with the associate director to establish annual program goals and metrics and provide regular statistical reports and analysis on the status of program areas.
    • Maintain budget oversight of all assigned program areas.
    • Assume responsibilities as assigned by the Director or Associate Director of Annual Giving to advance the Constituent Engagement and Sustained Giving University Advancement Division goals.
    • Work collaboratively with team members to execute strategies that achieve maximum program success.
    • Maintain ongoing knowledge of philanthropic and annual giving trends.
    • Attend department, unit and division meetings and events as requested.

Required Qualifications: 

  • Bachelor’s Degree
  • At least one year of experience in one or more of the following: fundraising, alumni relations, non-profit, or sales. Experiences as a student, intern, or volunteer may qualify.
  • Writing and editing skills; strong verbal communication skills with the ability to deal effectively and sensitively with diverse populations.
  • Time management skills and use of effective tracking methods to complete work and projects, prioritize tasks in an environment of changing time constraints, and ability to work effectively under pressure to meet deadlines.
  • Leadership and interpersonal skills that demonstrate respect for others, support for department and organizational goals and the ability to work as part of a team.
  • Ability to analyze information to identify key issues and effectively adjust.
  • Proficient software skills in Microsoft Office products (Word, Excel, Access, PowerPoint), email, internet, and database familiarity.
  • Willingness to work flexible hours, including evenings, weekends, and some overnight travel.

Preferred Qualifications: 

  • Previous experience working with and organizing students
  • Previous experience managing managers
  • Working knowledge of customer relationship management and engagement software such as Advance, CampusCall and SignalVine
  • Understanding of trends in and principles of higher education and philanthropy
  • Extensive knowledge of JMU

Conditions of Employment:
