Job Description

The Assistant Director of Alumni Engagement for the UCF College of Sciences supports five core areas within the Foundation’s Advancement operation: volunteer management; events; communications; annual giving; and alumni and friends’ engagement.

This position oversees all aspects of alumni engagement, following best practices, to ensure that the UCF College of Sciences engages its constituencies in support of the college’s initiatives and development efforts.

  • The position is designed to advance the goals of UCF, the UCF Foundation, and the College of Sciences by meeting engagement and fundraising goals through planning and implementing programs and projects that strategically engage UCF alumni and friends. This role also supports the activities of the Nicholson School of Communications and Media Alumni Chapter.
  • Oversees the direction and activities of UCF College of Sciences Alumni Chapter and the Nicholson School of Communications and Media Alumni Chapter. Responsibilities include identifying, recruiting, and training chapter leadership; managing, reporting and evaluating activities of the chapter; and securing 100% participation in giving from all chapter and regional volunteers.
  • Manage a portfolio of annual giving prospects, working to engage and increase each prospect’s annual support to the University. Make recommendations to gift officers to determine which prospects need to be moved into a major gift portfolio.
  • In partnership with the College and Foundation’s communications departments, coordinate content for alumni communications including electronic communications and mass emails; web content; print brochures, invitations, and letters. These duties also include coordinating external email communications through UCF’s Alumni Engagement and Annual Giving.
  • Serves as primary liaison between UCF Alumni Engagement and Annual Giving, the College, and the College’s Alumni Chapter to ensure mutual understanding and support of each organization’s priorities.
  • Develop, coordinate, and execute on- and off-campus constituent engagement gatherings. These engagements will often require coordination with academic leadership, faculty and students as key strategic partners.
  • Coordinate with the Chief Advancement Officer and the UCF Alumni Engagement and Annual Giving to staff key university initiatives throughout the year, including but not limited to college-based engagement events, football tailgates, regalia distribution, bowl games, and homecoming activities.
  • Responsible for accurate and timely data entry for all interactions with UCF alumni. Maintain standards for data privacy and integrity, as well as improved tracking systems for UCF Advancement.
  • Identify outstanding alumni for college- and university-wide recognition through various awards programs, driving nomination calendar and process in cooperation with the dean’s office, UCF Alumni Engagement, and College Advancement staff.

Minimum Qualifications

Bachelor’s or Master’s degree and 2+ years of relevant experience.

  • Ideal candidate should possess excellent written and verbal communication skills and be a superb editor, with demonstrated service orientation and diplomacy; the ability to multi-task; be highly organized and detail-oriented, effective organizational and time management skills; an independent worker with adept problem-solving and project management skills, a strategic and critical thinker; and have an enthusiastic and energetic attitude.
  • Applicant should be familiar with Microsoft Office and have a high level of comfort with technology.
  • Demonstrated experience in working with databases, websites, and social media.
  • Prior event planning and/or volunteer management experience preferred; prior alumni relations experience is a plus
