Overview

The Wisconsin Foundation and Alumni Association (WFAA)*, the private fundraising and alumni relations organization for UW-Madison, is recruiting for a Development Program Manager, Annual Giving to support the Wisconsin Medicine Advancement Group.

Who is WFAA?
The Wisconsin Foundation and Alumni Association is a private, nonprofit corporation that encourages individuals and organizations to make gifts to the university and to connect with the UW. In 2014, the UW Foundation merged with the Wisconsin Alumni Association® to better serve a growing population of UW alumni and donors. We believe that private support grows out of good relationships between campus leaders, faculty and program staff who need support, and the alumni and friends who want to invest in UW–Madison. We provide important engagement opportunities to link UW–Madison alumni to each other and to their alma mater, building a strong community of Badgers.

Essential Functions

Project Management

  • Keep track of solicitation calendar, ensuring all annual giving projects are kept on schedule.  Coordinates with internal and external stakeholders, as well as vendor partners, to ensure schedule integrity.
  • Liaison to marketing; gather patient stories, research initiatives, etc. that can be used in annual giving appeal pieces which support strategic initiatives.
  • Liaison to BI; Understand the data fields needed for mail and email files and understand patient data structure that supports annual giving efforts.  In coordination with Director of Annual Giving, request mail lists from BI and then prep mail file prior to sending to vendor partners.
  • Liaison to WFAA Marketing; submit project requests for email execution and coordinate process between vendor partners and WFAA Marketing for email execution.
  • Coordinate feedback and edits of appeals between units and vendor.
  • Track results using WFAA reports and communicate results to units.
  • Conduct kick-off meetings for annual giving projects; understand the goals of the unit, specific messaging that is needed, and audience/segmentation changes.

Stewardship 

  • Prepare gift, milestone, and other acknowledgements for assigned team members.
  • Coordinate and distribute routine gift reports.
  • Coordinate and manage the gift impact reporting.
  • Work with Director of Annual Giving and MAG Stewardship team to assist in reviewing and implementing new opportunities for donor engagement.
  • Work with the business intelligence team as needed, refine and customize donor lists for special mailings, invitations, donor recognition, etc.
  • Assist Director of Annual Giving with other prospect and donor stewardship activities as required.

Administrative

  • Works with Director of Annual Giving to plan budget for the year. Pays invoices, monitors spending accounts, requests transfers as needed.
  • Works with Director of Annual Giving to prepare ‘blanket spending approval’ statement for UWH and SMPH yearly expenses.
  • CRM maintenance: Keep MED exclusion list up to date, request new appeal codes, update vanity URLs, etc. to aid in the pulling of lists and tracking of gifts for annual giving.
  • Documentation of policies, processes, and procedures.

Qualifications

Required Qualifications:

  • 5 + years of relevant experience.
  • Proficient in MS Office, particularly Word, Excel and Outlook.

Other Qualifications:

  • High degree of proficiency in Microsoft Office (especially Word and Excel) experience required. Previous database reporting and experience with constituent relationship management software preferred.
  • Excellent oral and written skills.
  • Exhibits high level aptitudes in managing multiple tasks, advanced office and administrative management skills.
  • Excellent project management skills.

  • Ability to work independently and make autonomous decisions where appropriate
